# File-System Structure — C:\Users\mclou\

Canonical layout for Rocky's laptop after the 2026-05-28 file-org reorg. This document is the single source of truth — update it when the structure changes.

Companion docs:
- [[file-naming-conventions]] — naming rules for folders + files
- [[file-org-maintenance-schedule]] — recurring upkeep cadence

## Per-LFCS-job sub-structure

Every `LFCS\Projects\26XX-*\` job folder uses this Hornsby-template canonical structure:

```
2637-light-horse-park-stage-2-tce/
├── README.md                        # Status, contacts, scope, programme (see template)
├── _INDEX.md                        # Auto-generated by gen-index.ps1
├── _Log.md                          # Append-only daily log per session
├── 0. AI Context/                   # CLAUDE.md, drawings analysis, AI working state
├── 01. Tender Pack (Inbound)/
│   ├── 01a - RFQ + Conditions/      # RFQ, Conditions of Contract, Scope of Works, Addenda
│   ├── 01b - Drawings (Issued for Tender)/   # [Asset]\[Discipline]\[Firm]\ structure
│   ├── 01c - Specifications/        # [Discipline]\[Asset]\ structure (reversed from drawings)
│   └── 01d - Addenda + Clarifications/
├── 02. Estimating + Pricing/
│   ├── 02a - Quotes & Estimates (Outbound)/
│   ├── 02b - BOQ & Rate Schedules/
│   ├── 02c - Subbie Quotes Received/
│   └── 02d - Bid Strategy/
├── 03. Award + Contract/
├── 04. Programme + Scheduling/
├── 05. Procurement (Post-Award)/
├── 06. Correspondence/              # All inbound + outbound (13. Correspondence merged here per template fix)
├── 07. Variations + Claims/
├── 08. RFIs (Register + Drafts)/
├── 09. Site Diary + Daily Reports/
├── 10. Quality + ITP/
├── 11. Safety + SWMS/
├── 12. Meeting Minutes/
├── 14. Close-out + Handover/
└── 15. Cost Tracking + CVR/         # Renumbered from 06. (template fix to remove dup 06.)
```

### Drawing folder hierarchy inside `01b - Drawings`

Every drawing path:

```
01b - Drawings (Issued for Tender)/
  Issued for Construction/           # Discipline issue-status (separate axis, parent of asset)
    [Asset]/                         # Community Building / Park / Bridge / Carpark
      [Discipline]/                  # Architectural / Civil / Structural / Landscape / Services
        [Firm]/                      # Costin Roe / Bligh Tanner / Turf Design Studio
          drawing.pdf
```

**Rule:** discipline ALWAYS above asset. Same firm can appear under multiple disciplines (CORRECT representation of their scope, not duplication). No skipping levels even with 1 firm.

### Spec folder hierarchy inside `01c - Specifications`

```
01c - Specifications/
  [Discipline]/                      # Architectural / Structural / Civil / Services
    [Asset]/                         # Community Building / Park
      spec.pdf
```

**Rule:** discipline first (specs issued per-discipline bundles), asset second. REVERSED from drawings on purpose. No firm folder.

### Commercial docs inside `01a - RFQ + Conditions`

Flat folder containing: RFQ, Conditions of Contract, Scope of Works (head-contract SoW, e.g. WT3435), Addenda, Tender returnables, executed contract.

**Rule:** commercial ≠ technical. Specs stay separate at 01c. SoW at 01a even if 150+ pages.

## Status tracking inside LFCS\Projects\

Each job's README.md leads with:

```
**STATUS:** Active | Submitted | Awarded | Lost | Archived
```

No physical Active\Submitted\Archive folder split — single Projects\ folder + status line. When status changes, edit README, don't move folder. Avoids breaking scripts/shortcuts that reference job paths.

## Drive canonical per bid (2026-05-28 update)

Each LFCS bid has **TWO destinations**:

1. **Drive canonical** (Huss's shared folder, Rocky has write access) — customer-facing location. All bid outputs in deliverable format (Excel/PDF/Word) upload here.
2. **Local working dir** at `LFCS\Bids\<job>\` or `LFCS\Projects\<job>\` (structure TBD) — keeps `.md` drafts, working files, AI Context, daemon state.

**Same Drive-format rule applies:** Excel/PDF/Word render targets go to Drive. `.md` and source-only artefacts stay local.

**The Drive link goes in the bid's `README.md`** under a `## Drive canonical` heading at top. Rocky obtains the link per bid from Huss.

See `[[feedback-lfcs-bid-drive-canonical-per-bid]]` for full rule.

## Structure clarification needed (2026-05-28)

Rocky's HALT 2 instructions used `LFCS\Bids\2630-...` for the new 2630 skeleton, which conflicts with the locked decision "Single Projects\ + STATUS in README" from HALT 1. Pending clarification — currently 2630 lives at `LFCS\Bids\2630-erskine-park-tbc\` while all 10 other jobs are still at `Downloads\LFCS\Projects\26XX-*\` awaiting Wave 3 promotion.

Two possible resolutions:
- **A:** standardise on `LFCS\Bids\<job>\` for all jobs (rename `Projects\` plan → `Bids\`)
- **B:** keep `LFCS\Projects\<job>\` for all jobs (move the 2630 skeleton from Bids\ → Projects\)

Rocky to confirm during Wave 3 dispatch sign-off.

## Special notes

### Job 2642 collision

Two distinct jobs both numbered 2642:
- `2642-soak-city-hoarding-sheeth` (audit identified, Mar 2026)
- `2642-richie-benaud-oval-frp-solutions-plus` (new pack 28 May 2026)

Either Rocky renumbered or there's a legitimate collision. Both folders kept under different kebab-case suffixes until resolved. **Action:** Rocky to confirm correct numbering during Wave 3.

### Hidden Quarantine / Backup folders

`_Quarantine_2026-05-28\` and `_BACKUPS\` start with underscore + date so they sort to top of explorer listings. After 30 days (2026-06-27), Quarantine contents can be deleted. Backups retained until Phase 4 sign-off + a "safe" period of normal operation.

### Repos at user root

`rateright-growth-deploy`, `rateright-v2`, `the-50-dollar-app`, `ContractorOS-LFCS-Trial`, `opsman` remain at user root rather than under a `Dev\` umbrella. Reason: VPS auto-sync paths, `lf` PowerShell shortcut, IDE recent-file lists all reference absolute paths. Moving the repos breaks too much wired-up tooling. Revisit later as a standalone task if needed.
